Terms of Service

These Terms of Service (“Agreement”) govern your participation in any yoga retreat organized by Iris and Poppy Travel Studio, LLC (“Iris and Poppy,” “we,” “our,” or “us”). By reserving a retreat spot, submitting payment, or attending the retreat, you agree to be bound by these Terms.

1. ACKNOWLEDGEMENT OF RISK + RELEASE OF LIABILITY

I acknowledge that yoga, meditation, and retreat activities may involve physical movement, stretching, and exercise, as well as opportunities for relaxation, stress reduction, and reflection. I understand that participation carries the risk of injury or discomfort, including, but not limited to, muscle strain, illness, dehydration, or accidents that could result in serious injury or death.

I affirm that I am solely responsible for listening to my body, modifying poses as needed, and seeking support from retreat staff when necessary. I certify that I am medically, physically, and emotionally fit to participate.

By attending the retreat, I voluntarily assume all risks and release and discharge Iris and Poppy Travel Studio, LLC, its owners, employees, contractors, partners, and venue providers from any and all liability, claims, or demands for any personal injury, illness, property damage, or loss incurred as a result of participation, whether caused by negligence or otherwise.

2. RETREAT PRICING + ITINERARY CHANGES

All retreat prices are listed per person and published in advance. Prices include accommodations, meals, and programming as described on the event page but do not include airfare, transportation (unless specified), gratuities, or personal expenses.

While every effort is made to maintain the published retreat schedule, Iris and Poppy reserves the right to make changes due to weather, venue availability, instructor illness, governmental regulations, or other circumstances beyond our control. Schedule adjustments do not constitute grounds for refund.

If travel restrictions or “acts of God” (e.g., natural disasters, pandemics) prevent the retreat from taking place as planned, we will reschedule. If you cannot attend the new dates, we will apply your payment as credit toward a future Iris and Poppy retreat (valid for 24 months).

3. PAYMENT TERMS

Deposit: A non-refundable deposit of $500 per person is required to secure your spot.
A second payment of $500 will be automatically billed 60 days after your deposit.
Balance Due: The remaining balance must be paid by 02/10/2026 as outlined in the FAQ and booking details.
Late Bookings: If registering within the balance-due period, full payment is required immediately upon booking to secure your spot.

Failure to submit the full payment by the specified due date may result in cancellation of your reservation, with no refund of all funds already paid.

4. CANCELLATION & TRANSFER POLICY

Cancellation by Participant: All deposits are non-refundable.
61+ days before the retreat start date
- Full refund (minus the $500 non-refundable deposit), or
- Transfer 100% of the amount paid (minus deposit) as a credit toward our Fall 2026 retreat.
60–31 days before the retreat start date
- 50% refund (minus the $500 non-refundable deposit), or
- Transfer 75% of the amount paid (minus deposit) as a credit toward our Fall 2026 retreat.
30–16 days before the retreat start date
- No refund, but you may transfer 50% of the amount paid (minus deposit) as credit toward another retreat.
15 days or less before the retreat start date
- Unfortunately, no refunds or credits are available due to advance commitments made on your behalf.

There are no refunds for arriving late, leaving early, or not participating in scheduled activities.

5. TRIP INSURANCE

We strongly recommend purchasing trip insurance—ideally a “Cancel for Any Reason” policy—to protect your investment in the event of illness, injury, travel disruption, or personal emergencies. It is your responsibility to review policy terms to ensure coverage for COVID-19 or other health-related cancellations.

Please review your policy carefully—Iris and Poppy is not responsible for insurance coverage or reimbursements.

6. ROOMMATE ASSIGNMENTS

Retreat pricing is based on shared accommodations unless a single or couples room is specifically selected.

Shared Rooms: Most participants share rooms with one or more others.
Roommate Requests: After registration, you may request a specific roommate. We will do our best to accommodate requests but cannot guarantee matches.

Couples occupancy must be booked and paid for separately.

7. TRAVEL DOCUMENTS + HEALTH

You are responsible for securing any necessary travel documents (passport, visa) and recommended immunizations. You agree not to attend the retreat if you are experiencing contagious illness that could endanger others.

8. PERSONAL RESPONSIBILITY + SAFETY

You agree to be mindful of your own well-being, respect the safety of others, and follow all retreat guidelines. Iris and Poppy reserves the right to dismiss any participant whose behavior is disruptive, unsafe, or disrespectful, without refund.

9. ALLERGIES + DIETARY RESTRICTIONS

While we do our best to accommodate dietary preferences, we cannot guarantee a completely allergen-free environment. By participating, you assume the risk of exposure to allergens and release Iris and Poppy from liability for any allergic reaction.

10. MEDIA RELEASE

By participating, you grant Iris and Poppy Travel Studio, LLC permission to use photographs, video, and written testimonials from the retreat for promotional purposes, without compensation. If you prefer not to be photographed, please notify us in writing before the retreat begins.

11. GOVERNING LAW

This Agreement shall be governed by and construed in accordance with the laws of the State of California, without regard to conflict of laws principles.
